1. Overview

The Waldo platform is operated by 9567-4669 Québec inc., operating as "Waldo" ("Waldo," "we," "us," or "our"), from Montreal, Quebec, Canada.

Waldo is committed to protecting personal information in accordance with Quebec's Law 25 and applicable Canadian privacy laws.

2. Information We Collect

We may collect:

  • Name
  • Email address
  • Phone number (if used for account authentication or voluntarily added to a profile)
  • Date of birth (job seekers only — see section 2.2)
  • Profile information
  • Profile photos
  • Résumé or CV (if a job seeker chooses to upload one)
  • Messaging content within the app
  • Business listing information
  • Usage data

2.1 Phone Number

If a phone number is used for sign-in or verification, it is collected for authentication, account security, and fraud prevention purposes. Providing a phone number for profile visibility or contact purposes is optional. We do not collect government identification or payment data.

2.2 Date of Birth (Job Seekers)

We collect a job seeker's date of birth for two purposes, and only these two purposes:

  • Age eligibility: to confirm the seeker meets the minimum legal working age (14 in Quebec) and the minimum age required by each job (some jobs are legally restricted to adults — 18 or 19 depending on the region). Eligibility is re-evaluated automatically as the seeker gets older.
  • Duplicate-account prevention: to protect job seekers and employers from fraud, the seeker's first name, last name, date of birth, and region are combined into a code used to detect duplicate accounts. This code is stored only as a one-way cryptographic hash (HMAC-SHA256 with a secret key); the underlying values are never stored for this purpose, and the hash cannot be read back to reveal them.

A date of birth is stored separately from the public profile and is never shown to employers or other users. Employers never see a seeker's date of birth or exact age: for jobs with a legal minimum age, our system checks eligibility automatically, and employers only see candidates who meet the requirement.

After onboarding, a date of birth cannot be changed in the app, in order to protect the integrity of age checks. If it is inaccurate, a correction can be requested at any time — see section 9.1.

3. Purpose of Collection

Information is collected to:

  • Operate the platform
  • Facilitate matches
  • Verify age eligibility for jobs (minimum legal working age and adult-restricted positions)
  • Prevent duplicate accounts and fraud
  • Enable communication
  • Schedule interviews
  • Maintain platform safety
  • Improve functionality
  • Provide account authentication and security

4. Data Storage and Processing

Data is stored using third-party cloud infrastructure providers, including Firebase. Data may be processed or stored outside Quebec or Canada. By using Waldo, users consent to such transfers.

5. Data Sharing

We share:

  • Seeker profile information with matched businesses
  • Business listing information with seekers

5.1 Phone Numbers

Phone numbers are not automatically shared with other users. A user's phone number will only be shared with another user if: The user explicitly chooses to share it, or the user consents during the interview scheduling process. We do not sell personal information.

6. Interviews and Off-Platform Communications

The platform may allow users to schedule phone or video interviews. Waldo does not record calls or monitor off-platform communications. Any communication occurring outside the platform is solely between users.

7. Data Retention

We retain personal information while accounts remain active and as reasonably necessary for legal, regulatory, or dispute resolution purposes. Upon account deletion:

  • Profile data is removed
  • Date of birth and phone number are permanently deleted, including the private identity record and the duplicate-detection and phone-uniqueness hashes derived from them
  • Messages may be anonymized
  • Backup copies may temporarily persist

8. Security

We implement commercially reasonable safeguards to protect personal information. However, no system is completely secure, and users acknowledge transmission of information is at their own risk.

9. User Rights (Law 25)

Users may request:

  • Access to their personal information
  • Correction of inaccurate information
  • Deletion of their information (subject to legal limitations)
